Student Travel Policy, Procedure, and Forms
Texas A&M University-San Antonio (A&M-San Antonio) is supportive of student co-curricular activities both on and off campus, and also recognizes that the safety of its students is of the utmost importance. The requirements outlined in the Student Travel Policy and Procedures apply to travel more than 25 miles from campus to an activity that is organized, sponsored and/or funded by the University or by an organization properly registered at the University.
Students traveling on behalf of A&M-San Antonio must obtain prior approval from Student Activities if travel is in connection with a student organization or the appropriate academic department if travel is in connection with a class. The Office of International Affairs processes international travel for students and faculty who pursue travel outside the United States.
This rule applies to travel by car, truck, van, bus or airplane. For additional information, please review the travel procedures.
The following documents are required for all travelers:
- Trip itinerary
- Travel passenger list
- Emergency contact information for each participant
- Assumption of Risk, Indemnification agreement form for each participant
- Proof of insurance (international travel)
- Copy of passport (international travel)
Below you will find the links to the Student Travel Packet and the Individual Travel Forms. All forms are now housed in JagSync where you will be prompted to login to fill out the forms. All student travel forms must be completed 10 business days prior to travel for domestic trips and three weeks prior for international travel. Incomplete forms or missing forms will delay approval of the trip plans.
