Before You Submit Your Request

Welcome to the University Marketing & Strategic Communications Support Request Page! You can request various services here to help develop your ideas and meet your goals. We encourage you to bookmark this page for easy access to future requests.

Filling Out the Request Form

When you fill out the form, please provide as much detail as possible. Tell us all about your ideas and goals. Think about your target audience and what you're trying to accomplish. Be sure to include the who, what, when, where, and why in your description, along with any graphics you have

After Submitting Your Request

Once you submit the form, keep an eye out for a confirmation email from Smartsheet, our project tracking software. You should also receive a follow-up from the StratComm team member assigned to your request within 1-3 business days.

Please note: Project timelines can vary based on scheduling, resources, and personnel availability.

Collaboration & Planning

After we contact you, we'll discuss the next steps for your project, taking into account your ideas and objectives.

Flyer Approval

Student Organization flyers must be approved by the Student Life office. Please contact them for guidance. 

All other flyers, including those from departments, programs, and external parties, must be approved by Strategic Marketing and Communications before publication. 

Submit your editable flyer design or link for approval using the Marketing and Strategic Communications Request form. Upon approval, you will receive an email confirmation. You can then print your flyers and post them in designated locations as listed here.

Creative Services

Our team offers comprehensive solutions and guidance for design, layout, art direction, and production across all media. We're here to help you create effective, visually appealing marketing and communications materials.

To ensure a faster turnaround on your project, we encourage you to provide as much material as possible, such as images, design drafts, and copy. Projects requiring us to develop materials from scratch will take considerably longer than those with initial imagery and design concepts already provided.

Social Media

We harness the power of social media to engage with the community and showcase important University news, such as student, faculty, and staff accomplishments. Need help with what to say or what to post about the University? Our team also provides social media guidance and best practices to help navigate the challenges of posting with branded content.

Web Services

Web Services maintains the infrastructure for the TAMUSA.edu home page and its landing pages and supports reputational web pages. While departments can access our content management system (CMS) to make changes to their pages, we offer assistance with design and formatting. We can make quick edits if a change needs to be made immediately without going through a workflow. 

News & Media Relations

We work with media outlets and journalists to share University news and events. We provide resources and assets needed to tell our stories and coordinate interviews and campus visits. Media interested in speaking to an expert can email PR@tamusa.edu.

Adelante Magazine

This publication is our bi-annual magazine, which maintains and strengthens our connections with University alumni and stakeholders. Featuring compelling photography, design, and editorial content, each issue showcases faculty, staff, alumni, student achievements, athletic highlights, and the latest on-campus news and events.

Mass Communications/Emails

Purpose

These guidelines aim to clarify and ensure appropriate, consistent and effective communication to universitywide audiences.

Mass emails are administrative, operational, and informational and provide details the recipients need to perform their roles or fulfill responsibilities successfully. These messages are essential to job performance, completing academic requirements, enhancing our institution's culture and community, and/or are a required notification due to university, state or federal policy, law or regulation.

Recipients are unable to opt out of official university emails as they are distributed universitywide or campuswide on behalf of university leadership. These messages may also be sent to support timely updates specific to a unique population based on their location, role at the university, etc.

Mass Email Messaging

A&M-San Antonio Strategic Communications (StratComm) aims to ensure the effectiveness of email as a vital communication tool for sharing important TAMUSA information.

To ensure that email communication is prioritized and coordinated, specific TAMUSA offices are designated to oversee and manage mass emails sent to current and incoming students, faculty, and staff. The following divisions hold primary responsibility for these audiences:

Delegated Authority

Additional offices have been given delegated authority to send limited emails to the following mass email groups but MUST coordinate with Strategic Communications prior to sending any messages to ensure messaging coordination. All delegated offices have been given specific access to TAMUSA’s primary email distribution platform and have designated a point of contact. It is the responsibility of delegated offices to adhere to TAMUSA’s Mass Communication and Official Messaging Procedure and ensure coordination with Strategic Communications.

Additional offices with limited email distribution to sub-groups of TAMUSA audiences also have limited authority to send to their designated lists using TAMUSA’s primary email distribution platform. These offices must also coordinate Strategic Communications prior to sending any messages to ensure messaging coordination. These offices have been notified individually, and a full list is maintained with StratComm.

Offices not currently sending to all or subgroups that would like to request access may email StratComm@tamusa.edu.

All other requests to send one-time or limited messages to all students, all faculty, and/or all staff or a subgroup of these audiences must be submitted using the Marketing & Strategic Communications Request Form.

Note: Certain offices, such as the Office of Financial Aid and the Registrar, may necessitate the use of Banner or other platforms to send mandatory, compliance, or other business function-related messages to individual or subgroups of students. Offices uncertain of whether they fall under this exception should reach out to StratComm.

Universitywide Newsletters

The University maintains two primary newsletters designed to provide consolidated and concise information to its primary audiences. Students, faculty and staff are strongly encouraged to read each issue, and offices should submit relevant content to these newsletters as their primary source of TAMUSA-wide news, updates, and events:

  • The Growler – sent every Tuesday during the semester
  • The Spotlight – sent every Tuesday during the semester

Email Request Guidelines:

  • Requestors should consider the urgency of their message and first direct submissions to The Growler for messages to faculty/staff, and to The Spotlight for messages to students.
  • All other messages requested to be sent separately will be reviewed based on relevance to the university mission, content and urgency. Mass emails will be approved on the merits of each request. Requests must be made using the Marketing & Strategic Communications Request Form.
  • Mass email requests must be of interest to the vast majority of the target email audience.
  • Only requests from official TAMUSA offices will be considered. Off-campus or external sources wishing to mass email TAMUSA audiences will not be accepted.
  • For approved messages, the University generally follows a  a three-message limit per topic, event, etc.; where no more than one reminder email and a final message will be sent following the initial email. If a reminder email is desired, that information must be included in the original request. Note: reminder emails are not guaranteed and will be evaluated on a case-by-case basis.
  • Requests must be submitted at least 1 week in advance of their initial send date. Requested send dates will try to be accommodated, but will be evaluated alongside current messaging and urgency; requested dates are not guaranteed.
  • Colleges and divisions may request emails that are related and targeted to specific students associated with the college/division. These offices should work with Strategic Communications on appropriate branding and to ensure appropriate groups are targeted.
